Terms and Conditions for European Coffee Symposium 2025

These are the official Terms and Conditions (the “T&Cs”) for Coffee Ventures Europe Ltd. European Coffee Symposium 2025 (ECS). For the purpose of these T&Cs, the Event refers collectively to the European Coffee Symposium™ (ECS) and all associated activities (the “Experiences”). The Event will be held from 24-26 November 2025, at the JW Marriott Berlin. By registering and participating in the Event, the entrant (the ‘Entrant’) agrees to be bound by these T&Cs.

1. The Event: Coffee Ventures Europe Ltd. will host the European Coffee Symposium 2025 from 24-26 November 2025, at the JW Marriott Berlin. This premier B2B event is for influential business leaders in the European coffee and hospitality sectors.

2. Experiences and Accommodation: ECS Experiences are included for all Buyers and can be added as 'add-on' activities for Suppliers. These Experiences can be pre-booked with the main ECS ticket and added post-purchase. Accommodation booked through the Event platform is subject to these T&Cs.

3. Event Organisers: The Event is organised by Coffee Ventures Europe Ltd., registered number 6754003, with the registered office at 106 Arlington Road, London, NW1 7HP. Coffee Ventures Europe Ltd. reserves the right to cancel, modify, or terminate the Event due to circumstances beyond reasonable control. Refunds may be issued at the company's discretion.

4. Eligibility: Open to individuals over 18 with a valid ticket. Participants must be fit to partake in Experiences and stay at the accommodation.

5. Entry Conditions: One ticket per person. Participants must provide accurate information during registration. Participation is voluntary, and no refunds are provided for non-participation.

6. Experience and Accommodation Changes: Changes are subject to the discretion of the Event Organisers.

7. Responsibility: The contract is between the Entrant and Coffee Ventures Europe Ltd. If purchasing for others, the Entrant accepts these T&Cs on their behalf.

8. Registration: Opens 1 January 2025, until fully booked. Registration and booking confirmation are required for entry.

9. Licence to Use Comments, Feedback, and Ideas: Participants grant a perpetual licence to use shared comments, feedback, and ideas.

10. Conduct: Participants must follow all Event rules and instructions. Non-compliance may result in disqualification.

11. Insurance: Participants are responsible for their own insurance and assume all risks related to participation.

12. Film & Video Release: Participants consent to the use of their likeness in media formats for promotional purposes.

13. Right to Refuse Entry: Coffee Ventures Europe Ltd. reserves the right to refuse entry for non-compliance with T&Cs or staff instructions.

14. Cancellation Policy: Substitutions allowed via the website. Written cancellations up to 90 days before the Event incur a 20% fee. Full payment required for later cancellations.

15. Force Majeure: Coffee Ventures Europe Ltd. shall not be liable for any failure to perform its obligations where such failure is as a result of Acts of God (including fire, flood, earthquake, storm, hurricane, or other natural disaster), war, invasion, act of foreign enemies, hostilities (regardless of whether war is declared), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalisation, government sanction, blockage, embargo, labour dispute, strike, lockout or interruption or failure of electricity or telephone service, pandemic, or any other unforeseen event beyond the reasonable control of Coffee Ventures Europe Ltd.

16. GDPR Compliance: Coffee Ventures Europe Ltd. is committed to protecting and respecting your privacy. All personal data will be processed in accordance with the General Data Protection Regulation (GDPR). For more information, please refer to our Privacy Policy.

17. Health and Safety: Participants must adhere to all health and safety guidelines as mandated by local authorities and the Event Organisers. This includes any specific measures related to COVID-19 or other health concerns at the time of the Event.

18. Other Terms: Participation implies agreement to these T&Cs. Coffee Ventures Europe Ltd. is not liable for damages or losses from participation.

19. Disputes: These T&Cs are governed by the laws of England and Wales, with disputes subject to the jurisdiction of the Courts of England.
